PRIVACY POLICY
This Privacy Policy governs the manner in which URBNevents LLC ("URBNevents," "we," "us," or "our") collects, uses, maintains, and discloses information collected from users (each, a "User") of www.urbnevents.com (the "Site") and from guests who participate in URBNevents photo booth and event experiences. This policy applies to the Site and to all products and services offered by URBNevents.
Personal Identification Information
We may collect personal identification information from Users when they visit our Site, request a quote through a form, or opt into text messaging for quote delivery. Users may be asked for their name, email address, phone number, event details, and other relevant information. Users may visit our Site anonymously, and may refuse to supply personal identification information, though this may prevent them from engaging in certain Site-related activities.
Biometric Data (Facial Matching)
Some URBNevents experiences, including our AI Photo Experience, use facial matching technology to identify which photos belong to which guest ("Biometric Data"). We collect and use Biometric Data only for this matching purpose. Specifically:
- Biometric Data is captured or processed by URBNevents, or by a third-party AI provider acting on our behalf, solely to match a guest to their event photos.
- Biometric Data is not sold, leased, traded, or otherwise disclosed for commercial purposes.
- Biometric Data is deleted after the event for which it was collected.
- You may request deletion of your Biometric Data at any time by emailing photobooth@urbnevents.com.
- Biometric Data is protected using administrative, technical, and physical safeguards at least as protective as those used for our other confidential information.
URBNevents discourages the use of AI facial-matching experiences for minors. Where an event may include minors, URBNevents will offer a non-AI-matched alternative for distributing photos where the event format allows it.
Non-Personal Identification Information
We may collect non-personal identification information whenever Users interact with our Site, such as browser type, device type, operating system, and general technical information about a User's means of connecting to our Site.
Web Browser Cookies
Our Site may use cookies to enhance User experience. Users may set their browser to refuse cookies or alert them when cookies are sent; if they do, some parts of the Site may not function properly. URBNevents does not run third-party analytics or advertising tracking pixels on the Site.
SMS / Text Messaging
If you opt in to receive text messages for quote delivery or related communications, message frequency may vary. Message and data rates may apply. You may opt out at any time by replying STOP, or get help by replying HELP. Opting into text messaging is not a condition of purchasing any service.
How We Use Collected Information
- To improve customer service and respond to requests and support needs.
- To personalize the User experience, using aggregated information about how Users interact with our Site.
- To improve our Site and services based on feedback.
- To process quotes and payments; deposits and balances are handled by a third-party payment processor, and URBNevents never receives or stores full card numbers.
- To send periodic emails or texts with updates related to a User's request, or company news if a User has opted in. Users may unsubscribe at any time.
How We Protect Your Information
We adopt appropriate data collection, storage, and processing practices and security measures to protect against unauthorized access, alteration, disclosure, or destruction of personal information. Sensitive data exchanged between the Site and Users occurs over an SSL-secured, encrypted communication channel.
Sharing Your Personal Information
We do not sell, trade, or rent Users' personal identification information. We may share generic, aggregated demographic information not linked to any individual with business partners, trusted affiliates, or advertisers. We use third-party service providers, including our payment processor and AI photo providers, to operate our business and deliver Services; we share only the information necessary for those limited purposes.
Data Retention
- Quote requests and related contact information are retained for up to 10 years.
- Biometric Data is deleted after the event for which it was collected.
- Booking and payment records are retained as needed to comply with tax, accounting, and legal obligations.
Your California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have the right to: know what personal information we have collected about you; request deletion of your personal information; correct inaccurate personal information; and not be discriminated against for exercising these rights. URBNevents does not sell or share personal information for cross-context behavioral advertising. To exercise these rights, email photobooth@urbnevents.com with "California Privacy Request" in the subject line. We may need to verify your identity before fulfilling a request, and you may designate an authorized agent to submit a request on your behalf.
Children's Privacy
Our Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site. For in-person events that may include minors, see the Biometric Data section above regarding our approach to AI facial-matching experiences.
Changes to This Privacy Policy
URBNevents may update this Privacy Policy at any time. When we do, we will revise the date at the top of this page. We encourage Users to review this page periodically. Your continued use of the Site after changes are posted constitutes acceptance of those changes.
Your Acceptance of These Terms
By using this Site, you signify your acceptance of this policy. If you do not agree, please do not use our Site.
REFUND & CANCELLATION POLICY
Retainer and Payment
A retainer of 50% of the total order value is required to book an event. If the event is booked within 30 days of the event date, the full amount is due at the time of booking.
Cancellation by Client
Client may cancel this agreement by giving notice to URBNevents no later than 30 days prior to the scheduled event date.
- If the Client cancels more than 30 days prior to the event, the Client will receive a credit for any payments made, which can be used to reschedule the event for up to eighteen (18) months.
- If the Client cancels within 30 days of the event, the retainer is forfeited, but a credit for the remaining amount paid will be issued for rescheduling within eighteen (18) months.
- All payments are non-refundable. Refunds for client-initiated cancellation are not offered in any case; the amount paid converts to credit only.
Cancellation by URBNevents
URBNevents reserves the right to reject or cancel any order or client at any time, for any reason, at its discretion. If URBNevents cancels, any monies paid will be refunded in full by the original method of payment within three (3) business days of cancellation, and the Client may not thereafter pursue a claim for damages related to that cancellation.
Rescheduling
Credits issued under this policy must be used to reschedule the event within eighteen (18) months of the original cancellation date. Credits not used within this window are forfeited.
